Booking & queue

How do patients book an appointment?

They open your booking link (from your website, Google profile, a text message or a QR code), choose a clinician, pick an open slot and confirm. That’s 3 taps. They get a queue number and confirmation instantly.

Do patients need to download an app?

No. docbook.ai is a progressive web app (PWA). It opens in any browser on Android or iPhone and can be added to the home screen, with no app store needed.

Can two patients get the same slot?

No. Double-booking is blocked at the database level, so even simultaneous taps on the same slot result in only one booking.

How do walk-ins work?

Your front desk adds a walk-in in seconds. They receive a queue number and join the same live queue as online bookings.

Can patients see the live queue?

Yes. Patients see their status (booked, checked in, in consultation, completed) update on their phone in real time, so they can wait in the car or a nearby café.

Can patients reschedule or cancel themselves?

Yes, from their phone, anytime. The freed slot becomes available to others immediately.

Reminders & no-shows

Which reminder channels do you support?

SMS, WhatsApp and automated voice calls. Turn each on in Settings and choose how many hours before the appointment reminders go out.

Do reminders reduce no-shows?

Reminders consistently improve attendance in published studies. docbook.ai adds one-tap rescheduling, so patients free up slots instead of simply not showing up.

Are follow-up reminders automatic?

Yes. When a clinician sets a follow-up in the visit note, the reminder is scheduled automatically.

Clinical records

What patient history is stored?

Consultations and visit notes, procedures, medications with dosing schedules, and follow-ups, all on one timeline per patient.

Can I print prescriptions?

Yes. Clinicians write prescriptions with dosing, duration and instructions; the front desk can print them, and they’re saved to the patient’s history.

Who can see what?

Admins manage everything and approve staff. Clinicians see their queue and write notes and prescriptions. Front-desk staff manage bookings, walk-ins and check-in but cannot write clinical notes. Patients see only their own records.

Security & data

Is docbook.ai HIPAA compliant?

We use HIPAA-aligned security controls: encryption in transit and at rest, row-level access control per role, least-privilege staff access and an activity trail. We don’t currently sign Business Associate Agreements, so talk to us about your specific requirements before storing protected health information.

Where is data stored?

Today, data is hosted on AWS in the Mumbai (India) region via Supabase, encrypted in transit and at rest. Regional hosting for other markets is on our roadmap. Tell us your requirements.

Who owns the patient data?

Your clinic does. We process it only to run the service for you, never sell it or use it for ads, and you can export it anytime.

Can patients download their own data?

Yes, from their account, in one tap.

Pricing, trial & setup

How much does docbook.ai cost?

Starter is $29/month, Clinic $79/month and Hospital $249/month, billed annually, plus applicable taxes. Monthly billing is available too. No per-booking fees.

Is there a free trial?

Yes, 14 days on any plan. No credit card required.

Can I cancel anytime?

Yes. Monthly plans can be cancelled anytime, and you can export your data before you leave.

Can I migrate from my current system?

Yes. Send us your patient list as CSV or Excel and we’ll import it. Clinic and Hospital plans include migration help.

Do you support multiple locations?

The Hospital plan supports multiple departments. For multiple locations, each gets its own workspace. Contact us for multi-location pricing.

Does it work on slow connections?

Yes. The app is lightweight and loads fast on mobile data. Recently viewed screens stay cached, but live sync needs a connection.

Do you integrate with EHRs?

Not yet. EHR integrations are on our roadmap. Today you can export data as CSV, and Hospital plans include API access.

Which languages are supported?

The app is in English today. More languages for patient screens and reminders are on our roadmap.

How do I get support?

Email and chat support on business days, plus phone support on Clinic and Hospital plans. Hospital plans include priority support and an onboarding manager.
